Before you pick a tool or build anything, you need to know where the repetitive work in your business actually lives. Most owners can name one or two annoying tasks off the top of their head — but the biggest opportunities are often the ones that have quietly become "just how we do things."
Look for four warning signs
Walk through a normal week and watch for tasks that match any of these patterns. Each one is a strong hint that software could do the job instead:
- Copy-paste between systems — someone retypes the same information from an email into a spreadsheet, then from the spreadsheet into your CRM or accounting software.
- The same reply, written again and again — answering the same handful of questions, sending the same follow-up, or chasing the same overdue paperwork.
- Reports someone builds by hand — pulling numbers from three places every Monday to put together the same summary.
- Hand-offs that get dropped — a new customer, order, or request that has to be passed to another person, and sometimes isn't.
Go department by department
Repetitive work looks different in every part of the business. In sales, it's logging leads and following up. In customer support, it's sorting and answering common questions. In operations, it's scheduling, order updates, and moving information between systems. In finance and admin, it's invoices, receipts, and reminders. In marketing, it's reporting and repurposing content.
The fastest way to find your opportunities is to ask the people doing the work. A simple question — "what do you do every week that feels like a robot could do it?" — usually produces a better list than any consultant could.
See what's possible for your business
Use the tool below to pick a department and the kind of work that eats the most time there. You'll see the automations businesses most commonly start with for that combination.
Tool: Automation Opportunity Finder
Which department?
What eats the most time there?
Automations to consider: Sales · Data entry & copy-paste
- 1Automatically log every new web form, call, or email lead into your CRM — no retyping
- 2Use AI to pull contact details and company info out of inbound emails into the lead record
- 3Keep deal stages in your CRM updated when quotes are sent or contracts are signed
Common starting points, not a complete list. The right automation depends on the tools you already use and how your team works today.
Write down every idea that sounds familiar — even ones that seem small. In the next module, you'll score that list to work out which one to automate first.
